How Leading Sponsors Are Using Technology to Manage Guests at 2017 NASCAR Events

January 25, 2017

At Playoff Tech, we make cloud-based tools that help sponsors and agencies enhance the value of their sports sponsorships. With the NASCAR season kicking off in February with the Daytona 500, we thought we’d share how some of the leading NASCAR sponsors are using Sponsor Locker’s event technology to deliver exceptional guest experiences at their 2017 NASCAR events.

Ticket requests. Key customers and employees have access to a custom website where ticket requests can be made, with different ticket types and races being offered to different guest access codes. Requests are linked to an online system where they can be reviewed and approved and guests can be imported into an integrated event management system where activities can be assigned and tickets can be scanned, allocated and shipped.

Guest management tools. Guests are assigned to activities individually or by group or ticket type, enabling different levels of access and experiences for grandstand and suite attendees.

Customized online event agendas for each guest. Every guest receives a custom event agenda before the event, with notes about special dinners and other activities applicable to that guest. Agendas can include comments about dress expectations and photos of prior events.

Pre-event welcome messages. Guests receive welcome messages before the race with information about activities. Messages can include photos and welcome videos from players, drivers or other talent.

Positive check-in experience. Event check-ins are handled by iPads or laptops, with self-check-in options using an iPad App, all integrated with the guest management system. Substitute guests are recorded and welcomed. Guests receive schedule updates and personal messages at check-in. Guest contact information is confirmed or edited for use during and after the event. Hosts automatically receive notification of a guest’s arrival.

RSVP requests. RSVP requests are used to confirm attendance at key activities such as driver meetings, dinners or experiential contests.

Customized event agenda changes. If schedules change during the event, SMS or email updates are sent only to those who have checked in and may be affected by the change.

Post-event thank you messages. Guests who have checked in receive follow up thank you messages with photo galleries and video links after the race.

Post-event surveys. Guests receive post-event surveys that link responses into the integrated event management system, where they can be used as part of a multi-factor analysis of the event and comparisons and trends across multiple events, properties and platforms.

Attendance reports. Custom charts and tables track ticket usage by business unit or guest category, making it easy to highlight no-shows and compliance with customer/employee attendance ratios.

Sponsor Locker is an integrated platform designed specifically for sports sponsorship management. When it comes to delivering exceptional experiences to your motorsports guests, there’s nothing like it anywhere. And, if you like, it can also help you manage your sponsorship contracts and assets in a single integrated database that’s accessible to your whole team, anywhere, anytime and from any device.
